Delete Your Account & Data

Follow these instructions to request deletion of your personal data on Shift Scan. Please note that although we will delete your personal information, some data may be retained by your employer to comply with legal record-keeping requirements. See details below.

Overview

Shift Scan is a workforce time-tracking application provided to employees by their employers. An employer invites each user, and the user completes managed account setup under that employer's organization. Shift Scan does not offer open consumer sign-up.

You may request deletion of your account and associated personal data at any time by following the steps below. We will honor every valid request, subject to limited exceptions described under Data We May Retain.

How to Request Deletion

Account deletion requests are submitted by email. Use the button below to start a message to our privacy team.

  1. Send an email to developer@exactixcorp.com. This is the same address listed in our Privacy Policy for exercising privacy rights.
  2. Use the subject line: Account Deletion Request.
  3. Include your full name, the email address associated with your account, and your employer's name. If you know it, you may also include your employee ID. Do not send your password or authentication codes.

Your employer's administrator may help you prepare the request, but the deletion process still begins with an email to our privacy team.

What Happens Next

  1. We will acknowledge your request within 3 business days.
  2. We will verify your identity by replying to the email address you sent the request from. We may also ask your employer's administrator to confirm your account. This protects you against unauthorized deletion of your records.
  3. Once verified, we will respond to and complete your request within the timeframes required by applicable privacy law — generally within 45 days, subject to extension where permitted — except for data we are required to retain (see below).
  4. We will send a completion notice by email. It will confirm the action taken and summarize any employment records that must be retained.

What Data Is Deleted

The following information is permanently removed from our systems:

  • Your profile (name, email, date of birth, username, profile photo, phone number, and signature)
  • Your employment-related information (employee ID, job title, department, work location, and employment status)
  • Your emergency contact information
  • Your password, sign-in credentials, and authentication tokens
  • Notification preferences and device identifiers (device model, OS version, and unique device identifiers)
  • Any photos, attachments, or content you uploaded through the App
  • Support communications and any related metadata you sent to us

Data We May Retain

Some information may be retained after your account is deleted, in accordance with applicable law and your employer's record-keeping obligations:

  • Time and labor recordsClock-in / clock-out history, timecards, mileage logs, and similar records may be retained for the duration of your employment relationship plus an additional period required for legal compliance with tax, labor, payroll, and wage-and-hour laws (typically 3–7 years after employment ends, depending on jurisdiction).
  • Safety and incident recordsRecords related to on-the-job incidents may be retained to comply with occupational safety regulations.
  • Anonymized analyticsAggregated, de-identified data that cannot reasonably be linked back to you may be retained for service improvement.
  • Legal holdsRecords subject to active litigation, audit, or government inquiry will be preserved until the matter is resolved.

These retention requirements come from your employer and from the jurisdictions in which your employer operates. After the applicable retention period expires, the records are deleted in accordance with your employer's data retention policy.
